Who we are

Our website address is: https://www.frankley.school.nz

Our school website is used to share information about the school with our community, and to provide resources and updates to our school whānau. This site also allows new students to pre enrol via an enrolment form.

What personal data we collect and why we collect it

This website uses tracking, forms, email links, upload forms, and comments to provide a pleasant and functional user experience. We collect the bare minimum personal data required to operate the site.

Pre Enrolment Form

Our pre enrolment form on the Enrol page collects information we require to pre enrol your child in Frankley School. The only data we collect is that which we are required to collect by the Ministry of Education. Once submitted, the information you entered will be emailed to our office administrator. In addition, if you complete our pre enrolment form online, a copy of the data will be temporarily stored on this website as a backup, in a password-protected location. Once submitted, this form emails the form information to our office administrator. The only people who have access to this information are the Office Administrator and the Principal.

If you are not comfortable completing this form online, please get in touch with our office to arrange a paper-based form, or pop in to the office to complete one.

Contact forms

We have one contact form on our Contact page. Once you complete this form and submit it, the content of the form is emailed to our office administrator. A copy is not stored on this website.

Email links

There are a variety of email links throughout this website, used to help put you in touch with teachers and contact-people for various activities and services. If you click one of these links, we will track that click on our analytics account. This website does not track the content of any emails you send to these links.

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Analytics

Who we share your data with

Frankley School uses Google Analytics to track the usage of the site by visitors.

If you visit the Newsletters page and access any of the newsletters or archives, note that the various email/newsletter services (i.e. Smore) also provide analytics data to our school staff.

How long we retain your data

Enrolment form data is stored on the site for 30 days only from the date of submission. This data is password protected.

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Where we send your data

Pre Enrolment data will be used to verify your child’s eligibility to enrol at our school. The data will be entered into our Student Management System, and shared with the NZ Ministry of Education, as per our standard enrolment process. For more detailed information on this, please contact the office.

Visitor comments may be checked through an automated spam detection service.

How we protect your data

To ensure your data is kept protected, we have website security measures in place which are regularly reviewed and updated.

Access to the website is only by nominated personnel at Frankley School who have been trained in web administration. The website is also accessible by the web designer, Filament Design.

What data breach procedures we have in place

Our main priority is to protect this website from data breaches occurring. To mitigate any risk, we collect minimal data only, and store valuable personal information for minimal time periods.

Should a data breach occur, we have monitoring in place which will alert us quickly. Our response would be to investigate the scale and nature of the breach, and put in place a plan which may include: editing security settings, running backups, notifying affected parties, changing passwords, removing linked services, and deactivating the site temporarily.
